Privacy Policy

Reclee LLC ("Reclee", "we", "us") is a recruiting agency. This policy explains what personal information we hold, where it comes from, what we do with it, and how to get it removed.
Reclee LLC is the data controller. We are a Wyoming limited liability company. Principal address: 30 N Gould St, Ste N, Sheridan, WY 82801, United States.

1. Who this policy covers
Two groups, with different situations:
Clients and site visitors — people who contact us, book a call, or hire us to run a search. You gave us your information directly.
Candidates — people we identify, evaluate and contact about roles. Most candidates did not give us their information directly. We found it. Section 3 is written for you, and it's the section that matters most.
2. Clients and site visitors
What we collect. Your name, work email, company, the role you told us you're hiring for, and anything you send us in messages, calls or documents. If you book a call, the scheduling details. If you become a client, the commercial and billing information needed to run the engagement.
Why. To answer you, run your search, deliver candidates, invoice you, and keep records.
Legal basis (GDPR). Performance of a contract, or steps taken at your request before entering one. For general business communication and record-keeping, our legitimate interests.
We don't sell your information and we don't run marketing sequences off this site. If you leave your email asking about a role, we write back about that role.
3. Candidates
This is the part you're probably here for.
Where your information comes from
We build candidate profiles from sources including:
- Professional networking and job platforms where you published a profile
- Public web sources — company sites, personal sites, portfolios, public repositories, conference and press listings
- Licensed third-party data providers, including contact data providers
- Applications you submitted to a role we're running
- Referrals from a client's own team or network
- Information you give us directly, once we're in contact
If you're wondering how we got your email or phone number: in most cases, from a licensed data provider that compiles professional contact data. You did not have to give it to us for us to have it.
What we hold
Professional information: name, professional and personal email, phone number, location, current and past employers, job titles, dates, seniority, skills, education, languages, links to your public professional profiles, and publicly available professional content you've published.
If we interview you: your interview transcript, our notes, our scoring, and the details you shared — salary expectation, current compensation, notice period, work setup and availability.
We do not seek out special category data — race, ethnicity, religion, health, political opinions, sexual orientation, trade union membership, biometric or genetic data. Don't send it to us. If it reaches us incidentally, we don't use it for evaluation.
What we do with it
We match your profile against roles we're actively working on, score it against that role's criteria, contact you if there's a plausible fit, and — if you're interested and qualify — present you to the client with a written report.
We contact candidates about specific open roles. We do not sell candidate data, we do not license it to other agencies, and we do not build products out of it for third parties.
Legal basis (GDPR)
We rely on legitimate interests (Art. 6(1)(f)) to source, hold and evaluate professional information for recruitment. The interest is operating a recruiting agency; the information is professional rather than private; the processing is what a person who published a professional profile would reasonably expect. We've weighed that against your rights and we think it's a fair balance — but if you disagree in your particular case, say so and we'll stop.
For interview transcription, we rely on your consent, asked for at the start of the call.
For sharing your profile with a specific client, we rely on legitimate interests, and we tell you which client before we do it.
Interviews are transcribed
We transcribe screening interviews. We do this so the written report we send the client reflects what you actually said, rather than a recruiter's memory of it.
We will tell you at the start of the call and ask before we start. If you say no, we don't transcribe — the interview goes ahead with written notes instead. Saying no does not affect whether we present you.
Transcripts are used to write your report and for internal quality review. They are not published, not sold, and not shared beyond what's needed to present you to the client for that role.
Scoring and automated evaluation
We use software, including AI models, to search, rank and score candidate profiles against a role's criteria. This is what lets us evaluate a large market quickly.
A person reviews every candidate before they're contacted and before they're presented to a client. No candidate is rejected, advanced or presented solely by automated means. If you want to know how you were scored on a specific role, or want a human to look again, ask us.
4. Who we share information with
- Clients — we share your profile, report and interview outcomes with the specific client hiring for the role, and only after telling you which client it is. Clients are contractually barred from forwarding your information to anyone else.
- Service providers — the companies that host our infrastructure, store our data, process our email and scheduling, transcribe interviews and provide AI processing. They act on our instructions and are bound by contract.
- Professional advisors — accountants and lawyers, where necessary.
- Legal requirements — where we're legally required to disclose, or to establish or defend legal claims.
- A successor — if Reclee is acquired or merges, information may transfer as part of that transaction, subject to this policy.
We do not sell personal information, and we do not share it for cross-context behavioral advertising.
5. International transfers
We are based in the United States and our infrastructure is hosted primarily in the United States. Candidates and clients are global, so information routinely moves across borders.
Where we transfer personal information out of the European Economic Area or the United Kingdom, we rely on Standard Contractual Clauses or another lawful transfer mechanism, and we require the same protections downstream.
6. How long we keep it
Clients: for the duration of the relationship and afterwards as needed for legal, tax and accounting obligations.
Candidates: we keep candidate profiles on an ongoing basis, so that we can consider you for future roles rather than re-sourcing you from scratch each time. We review the database periodically and remove profiles that are stale, unreachable or no longer relevant.
In every case, you can ask us to delete your information and we will. Email kevin@reclee.com. We'll confirm when it's done.
If you ask for deletion, we keep a minimal suppression record — enough to make sure we don't re-source you and contact you again later. That record contains only what's needed to recognize and exclude you.
Interview transcripts are deleted on request, along with the rest of your profile.
7. Your rights
Wherever you are, you can ask us to:
- Tell you what information we hold about you
- Give you a copy of it
- Correct anything wrong
- Delete it
- Stop contacting you
If you're in the EEA or the UK, you also have the right to object to processing based on legitimate interests, to request restriction of processing, to data portability, to withdraw consent for anything based on consent (including interview transcription), and to lodge a complaint with your local supervisory authority.
If you're in California or another US state with a comprehensive privacy law, you have rights to know, access, correct, delete and to a portable copy, and the right not to be discriminated against for exercising them. We don't sell or share personal information as those terms are defined under California law. You may use an authorized agent to submit a request.
To exercise any of these: kevin@reclee.com. We respond within 30 days. We may need to verify your identity first, and if we do, we'll only ask for what's necessary to do that.
There's no charge, and no consequence for asking.
8. Cookies
We don't use advertising cookies, analytics cookies or tracking pixels on this site.
Our site uses only what's needed to load and function. The embedded scheduling tool we use to book calls sets its own cookies inside its embed when you interact with it; that's governed by that provider's policy.
9. Security
We restrict access to personal information to the people who need it, use encrypted connections, and work with infrastructure providers that maintain recognized security standards.
No system is perfectly secure. If a breach affects your personal information and the law requires notification, we'll notify you and the relevant authority within the required timeframe.
10. Children
Our services are for working professionals. We don't knowingly collect information from anyone under 16. If we learn we have, we delete it.
11. Changes
We may update this policy. The effective date at the top will change when we do. If a change materially affects how we handle candidate information, we'll say so on this page.
